Where AI genuinely helps in day-to-day business processes, where it doesn't, and how to keep people in control.

What AI adds to automation

Ordinary automation is good at fixed rules: if this happens, do that. AI handles steps that used to need a person to read or interpret something, such as understanding an email, extracting details from a document or writing a first draft.

Processes where AI helps

  • Document capture. Reading supplier invoices, application forms and delivery notes and passing the details into your systems.
  • Enquiry handling. Sorting incoming messages by topic and urgency, and answering the routine ones from approved information.
  • Drafting. First versions of quotes, follow-up emails and standard letters for staff to edit.
  • Summarising. Pulling decisions, deadlines and action items out of long threads, calls or tender documents.
  • Internal knowledge. Answering staff questions from your own policies, manuals and price lists.

Where to be careful

AI can be confidently wrong. It should not make final decisions about money, legal matters, medical questions or anything with serious consequences without a person checking. The safest designs put AI in the middle of a process, with a human approval step before anything important happens.

Protecting personal information

Under POPIA your business remains responsible for personal information. Send an AI service only the data a task needs, use providers' business terms, and keep a record of what data goes where.

How to start

  1. Choose one task. Something repetitive with clear inputs, like invoice capture.
  2. Test on real examples. Use 50 to 100 real documents or messages and check the results.
  3. Add review. Decide which outputs need a person to approve them.
  4. Measure. Time saved, errors caught and cost per run.
