How Businesses Can Use AI

Practical, low-risk ways small and medium South African businesses can use AI today, and the questions to ask before spending money.

Begin with a problem, not the technology

The businesses that get value from AI start with a specific job that eats time: answering the same questions, typing data from documents or writing similar emails. Starting with "we should use AI" usually leads to an expensive experiment with nothing to show for it.

Low-risk places to start

  • Customer FAQs. An assistant on your website that answers routine questions from information you approve, and hands everything else to a person.
  • Email drafting. Staff get a first draft of routine replies and edit before sending.
  • Document capture. Invoices and forms read into a spreadsheet or system for checking.
  • Meeting and call notes. Summaries and action items, checked by the person who was there.
  • Staff knowledge. New team members ask an assistant trained on your own policies and price lists.

What it costs

There are usually two costs: building the integration, and usage. AI providers charge for each request based on how much text is processed, so a high-volume process costs more to run. Estimate usage from your real volumes before you commit.

Risks to manage

  • Incorrect answers stated confidently
  • Personal or confidential information sent where it shouldn't go
  • Staff trusting output without checking it

Each risk is manageable with clear rules, review steps and testing on real examples.

Questions to ask a provider

  • What data will be sent to the AI service, and under what terms?
  • How will you test accuracy on our real examples?
  • Which outputs will a person review?
  • What will it cost per month at our volumes?
